The primary purpose of the Admission & Marketing Coordinator is to maintain a desired census and waiting list, interact with the community, implement! the facilityâs marketing plan, travel, speak before groups, obtain resident information, complete and maintain admission records and documents, communicate with families/responsible parties, work with referral agencies.
JOB DUTIES & RESPONSIBILITIES:
Administrative Functions
- Develop long-range and short-range marketing plans, establishing goals and objectives consistent with the overall goals and annual budget of the facility.
- Develop and implement promotional activities that highlight the facilityâs ability to provide quality care and services.
- Track relevant marketing data such as inquiries by number, quality and source, conversion ratios, admission patterns, census and mix, and discharges and prepare reports as required by the Administrator.
- Lecture before groups relative to health and long-term care services.
- Act as a liaison with physician offices, discharge planners and other referral sources.! li>
- Conduct tours of the facility and grounds for potentia! l residents, families, community and representatives from placement agencies and referral sources.
- Follow up on inquiries and maintain current and active waiting lists.
- Maintain an accurate record of available beds.
- Maintain daily and monthly census reports as directed.
- Keep abreast of current Medicare/Medicaid regulations governing admission/discharge requirements.
- Interview applicants for admission and acquire necessary information, documentation, permits, releases, authorizations, and signatures.
- Interview family members/responsible parties and obtain required information, documentation and signatures.
- Explain to family members/guardians the facility room rates, billing procedures, restrictions, resident care procedures, visitor policies, etc. as appropriate.
- Handle financial arrangements related to admission.
- Assemble and check for completeness all preadmission and admission documents. Forw! ard to appropriate department.
- Refer admission problems to proper authority or department.
- Assist in the orientation of residents and family members in accordance with facility procedures.
- Assist in preparation and proper recording of identification records for residents in accordance with facility procedures.
- Forward completed medical records to the Medical Records Coordinator.
- Abstract information from records as required for insurance companies, Medicare, etc.
- Maintain a current listing of all residents, their level of care, assigned room numbers. Provide copies to nursing, administration, social services, government agencies, etc., as necessary.
- Develop and maintain a good working rapport with other departments within the facility, specifically social services and nursing.
- Maintain professional confidentiality. Committee Functions
- Attend and participate in quality assurance committees. !
- Serve on other facility committees as requested.
- Attend and participate in in-service educational classes and on-the-job training programs, including annual OSHA and CDC programs.
- Attend and participate in professional workshops, seminars, etc. as approved.
- Report all unsafe/hazardous conditions, defective equipment, etc.
- Report any incidents and/or accidents immediately.
- Ensure that interview area and admission office are neat, orderly, clean and presentable at all times.
- Ensure that supplies have been replenished in work area as necessary.
- Ensure that all equipment in work area is clean and in good working order.
- Maintain confidentiality of all pertinent resident care information to assure resident rights are protected. Release information in accordance with federal, state, and establi! shed facility policies.
- Knock before entering a residentâs room.
- Assure that resident rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, including the right to wage complaints, are followed.
- Ensure residentsâ valuables are inventoried and deposited or a âRelease from Responsibilityâ form is signed in accordance with established policies and procedures.
- Provide resident/families with information concerning resident funds, resident rights, advance directives, etc.
- Works in office areas as well as throughout the facility and its premises.
- Moves intermittently during working hours.
- Is subject to frequent interruptions.
- Is involved with residents, family members, associates, visitors, government agencies/personnel, etc., under all conditions/circumstances.
- Is subject to hostile and emotionally upset! residents, family members, associates, and visitors.
- Works be! yond normal working hours and on weekends and holidays when necessary.
- Is subject to callback during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
- May be involved in community/civic health matters/projects.
- Attends and participates in continuing education programs.
- Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as to reactions from dust, plastics, synthetics, disinfectants, tobacco smoke, and other potential contaminants.
- Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses.
- May be subject to the handling of and exposure to hazardous chemicals.
- Communicates with the medical staff, nursing personnel, and other department supervisors.
- Maintains a liaison with the residents, their families, support personnel, etc., to assure that the residentsâ needs ar! e continually met.

Requirements:
Education
- A high school diploma is required. Bachelorâs degree in marketing, nursing or healthcare administration preferred.
- Must have three to five (3-5) yearsâ experience in health care and marketing, preferably in long term care with a proven record of building relationships with referral sources. Specific Requirements
- Must be able to read, write, speak, and understand the English language.
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability to deal tactfully with associates, residents, family members, visitors, government agencies/personnel and the general public.
- Must be able to speak before large and small ! groups.
- Must be knowledgeable of reimbursement regulations and! general nursing practices and procedures, as well as laws, regulations, and guidelines pertaining to long-term care.
- Must possess the ability to work harmoniously with and supervise others.
- Must possess the ability to plan, organize, develop, implement, and interpret the marketing goals, of the facility.
- Must be able to communicate facility services and cost structure to prospective families and residents.
- Must be knowledgeable of community resources and needs.
- Must have patience, tact, cheerful disposition and enthusiasm, as well as must be willing to handle residents, associates, and visitors, based on whatever maturity level at which they are currently functioning.
- Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
- Must have good human relations and communication skills.
- Must be able to read and interpret financial information.!
- Must be knowledgeable of computer systems, system applications, and other office equipment.
- Must be able to communicate policies, procedures, regulations, reports, etc., to personnel, residents, family members, visitors, and government agencies/personnel.
- Must have a valid driverâs license.
